Thursday Exhibitors' Fair

As in past years, one of the central features of the NCPMA Fall Conference is our Exhibitors' Fair. The Fair is held on Thursday (October 6th) in the Empire Ballroom (see hotel diagram below).

Thursday begins with a Continental Breakfast from 8:00am to 8:30am (open to conference exhibitors). Conference attendees proceed to the Auditorium for two hours of speakers/presentations. During this time, exhibitors may set up their booths and make any final preparations. From 10:30am to 1:00pm is the primary exhibition period with conference participants. From 12:00noon to 1:00pm, lunch will be served in the exhibition room, a good opportunity to sit and talk with potential clients.

After lunch, exhibitors are encouraged to use the 1:30pm to 3:15pm time block to schedule one-on-one meetings or presentations with potential clients idnetified during the morning session. (Conference participants are given the option of attending these exhibitor meetings or an issues discussion round table session.)

As in recent years, some form of incentive program will be used to encourage conference participants to visit exhibitors. In response to your feedback from years past, again this year we will NOT have exhibitors distribute stickers (allowing you to devote your attention to potential clients). Participants will be required to get a sticker from a Program Committee representative to show they came to the exhibitors session in order to be eligible for NCPMA-sponsored prize drawings at the banquet Thursday night.

Speaking of prize drawings, as you may know, we have a pretty large prize giveaway at the end of our Thursday night banquet. One thing that makes this event so popular with attendees is the large number of prizes which are given out. Our exhibitors are a large factor in this, and for that we thank you! If your company is interested in donating any prizes for the banquet, random door prizes to be given out at conference sessions, or if you want to hold your own drawing of visitors to your exhibit booth who leave business cards, please contact our Conference Co-Chair, Ted Cisine (contact info above), who is handling prize drawings.

Wednesday night early set-up will be available if the room is set up in time. This largely depends on the hotel's schedule and whether or not the space is in use on Wednesday. We will do our best to inform exhibitors about early setup as soon as we know.


Event Sponsorships

Another way our exhibitors make our annual conference even more successful is through event sponsorships. With this year's conference including a day of pre-conference workshops, there are even more opportunities to get your name out! Event sponsorships include Wednesday morning coffee & danishes, the Poster Session & President's Reception Wednesday night, Thursday Pre-Banquet Social, Post-Banquet Dance, Thursday Continental Breakfast, Friday morning coffee & biscuits, or one of five session breaks provided for participants. Companies sponsoring one of these functions will have their sponsorship announced at the time of the event, have a large poster with company logo at the event, and be named as sponsors on both the printed (subject to printing deadlines) and online (with weblink) conference programs. Event sponsors will be specially recognized with their logo and weblink with preferential placement on the exhibitor page, with larger sponsors listed first. Non-sponsoring exhibitors will receive a text listing and weblink.

If you are interested in sponsoring one of the events, contact one of the Program Committee personnel listed above to express your interest. Companies which have previously sponsored specific events will be given first opportunity to continue hosting the same event. Preference on session breaks will be given to companies willing to sponsor a full break with both drinks and snacks, but drink-only breaks are available for sponsorships of as little as $150. As of September 14th, all 3 of the scheduled morning drink breaks have been reserved.


Hotel Accomodations

The NCPMA has reserved a block of guest rooms at the Sheraton Imperial Hotel and Convention Center (pictured on right) in Research Triangle Park, NC. Guest room reservations are the individual responsibility of conference attendees and exhibitors. To make your reservations, call the hotel directly at (919) 941-5050 or Sheraton Reservations Central at (800) 325-3535 and be sure to identify yourself as an NCPMA conference participant to receive the group rate of $105.00 per night for single or double occupancy standard accomodations, call the hotel for club level rates (all rates are exclusive of additional 13% in sales and occupancy taxes). The group rate will be offered until September 4, 2005. After that date, accomodations will be subject to room and rate availability. It is strongly suggested that you make your room reservations early, as October is the busiest month of the year at this property.

Accomodations update!

The group block has expired at the Sheraton and either the hotel is completely filled, or what rooms are available are going for rates considerably higher than the group rate. There are two other hotels on Page Rd. with availability. The Comfort Suites 5219 Page Rd., (919) 314-1200 has Doubles for $99/night and Kings for $109/night. The SpringHill Suites by Marriott 920 Slater Rd., (919) 998-9500 has rooms for $119/night. All room rates are subject to an additional 13% in state and local sales and occupancy taxes.
